About this policy

This policy explains what personal information Charles Tours collects, why we collect it, who we share it with and the choices you have. We follow the Tanzania Personal Data Protection Act, 2022 and its regulations. If you live in the European Union or the United Kingdom, we also respect your rights under the GDPR and UK GDPR.

Information we collect

When you enquire: your name, email address, country, phone or WhatsApp number, travel dates, group size, budget and anything you tell us about the trip you want.
When you book: full names, passport numbers, nationalities and dates of birth of every traveller, flight details, emergency contacts, travel insurance details and payment records.
Health and dietary information that you choose to give us, such as allergies, medical conditions or mobility needs. We only use this to keep you safe and comfortable on your trip.
When you visit our website: basic technical information such as your browser type and pages viewed. See our Cookie Policy.

Our enquiry form does not store your details on our website. When you press send, it opens your own email or WhatsApp with your message ready, and the message comes straight to our team.

How we use your information

To answer your enquiry and prepare a quote.
To book and run your safari, including park permits, lodges, flights and transfers.
To keep you safe while you travel and to contact you or your emergency contact if needed.
To take payments and keep accounting and tax records required by Tanzanian law.
To send you occasional news or offers, only if you have agreed. You can unsubscribe at any time.

We process your information because we need it to provide the trip you ask for, because the law requires it (for example park permits and tax records), because of our legitimate interest in running and improving our business, or because you have given consent. You can withdraw consent at any time.

We only share what is needed to run your trip, with:

lodges, camps and hotels where you stay;
park and conservation authorities, such as TANAPA and the Ngorongoro Conservation Area Authority, which require traveller details for permits;
airlines and balloon operators you are booked with;
our guides and drivers;
banks and payment providers;
emergency, medical and evacuation services if you need help;
government authorities where the law requires it.

We never sell your personal information.

International transfers

Some of the services we use, such as email and messaging providers, store information on servers outside Tanzania. When information leaves Tanzania, we make sure appropriate safeguards are in place, as the Personal Data Protection Act requires.

How long we keep it

We keep enquiry details for up to two years if you do not book. We keep booking and payment records for as long as Tanzanian tax and accounting law requires, which is normally up to seven years. Passport and health details are deleted once they are no longer needed for your trip or for legal reasons.

Keeping it safe

We limit access to your information to the people who need it, use secure, password-protected systems, and train our team to handle personal information carefully. If a data breach could affect you, we will tell you and the Personal Data Protection Commission as the law requires.

Your rights

You can ask us to:

tell you what information we hold about you and give you a copy;
correct information that is wrong or incomplete;
delete your information when we no longer need it;
stop or limit how we use it, or object to marketing;
move your information to another organisation, where this applies.

Email tours@charles-tours.com and we will reply within 30 days. If you are not happy with our answer, you can complain to the Personal Data Protection Commission (PDPC) in Tanzania, or to the data protection authority in your own country.

Children

We collect information about children only when a parent or guardian books a trip for them, and only what we need for that trip.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
